WHEN: WEDENESDAY, SEPTEMBER 21, 2016 WHERE: FOUNTAIN HILLS COUNCIL CHAMBERS 16705 E. AVENUE OF THE FOUNTAINS, FOUNTAIN HILLS, AZ A majority of the Council members may be in attendance. No official action will be taken. Sister Cities Commissioners will attend either in person or by telephone conference call. PROCEDURE FOR ADDRESSING THE COMMISSION Anyone wishing to speak before the Commission must fill out a speaker’s card and submit it to the Executive Assistant prior to Commission discussion of that Agenda item. Speaker Cards are located in the Council Chamber Lobby and near the Executive Assistant’s position near the dais. Speakers will be called in the order in which the speaker cards were received either by the Executive Assistant or the Commission Chair. At that time, speakers should stand and approach the podium. Speakers are asked to state their name and whether or not they reside in Fountain Hills (do not provide a home address) prior to commenting and to direct their comments to the Presiding Officer and not to individual Commission members. Speakers’ statements should not be repetitive. If a speaker chooses not to speak when called, the speaker will be deemed to have waived his or her opportunity to speak on the matter. Speakers may not (i) reserve a portion of their time for a later time or (ii) transfer any portion of their time to another speaker. If there is a Public Hearing, please submit the speaker card to speak to that issue during the Public Hearing. Individual speakers will be allowed three contiguous minutes to address the Commission. Time limits may be waived by (i) discretion of the Town Manager upon request by the speaker not less than 24 hours prior to a Meeting, (ii) consensus of the Commission at Meeting or (iii) the Chair either prior to or during a Meeting. Please be respectful when making your comments. If you do not comply with these rules, you will be asked to leave. Notice is hereby given that pursuant to A.R.S. §1-602.A.9 , subject to certain specified statutory exceptions, parents have a right to consent before the State or any of its political subdivisions make a video or audio recording of a minor child. Meetings of the Town Council are audio and/or video recorded, and, as a result, proceedings in which children are present may be subject to such recording. Parents in order to exercise their rights may either file written consent with the Town Clerk to such recording, or take personal action to ensure that their child or children are not present when a recording may be made. If a child is present at the time a recording is made, the Town will assume that the rights afforded parents pursuant to A.R.S. §1-602.A.9 have been waived. Below are the 2016 Sister City activities     Ataco:   Sister City members Mike Sharnow and Jerrod Stearns of the local Thrivent organization will  travel to Santa Ana in El Salvador to build houses for Habitat for Humanities.  While they are  there they plan to visit the neighboring Sister City Ataco, on behalf of Fountain Hills Sister  Cities. They have already been in touch with Mayor Oscar.  They would be happy to take an  extra suitcase or duffle bag if we have anything we would like them to take.   Earlier this year Sister Cities sent $3,000 to Ataco Mayor to be spent on local school supplies.  This is in lieu of a student exchange. It’s our belief  that more kids can benefit from the donation  for supplies versus a student exchange for a few.     Social for Students and Parents  Ed Kehe and Christine Colley will act as chairmen to put together a social to be held from 6:00  to 8:00 p.m. on ​September 13 ​in the Fellowship Hall of the Presbyterian Church.  Parents will be  advised that in order to participate in student exchanges they must join the Sister Cities  Corporation.  Pizza and soft drinks will be served.  Little Caesar’s will be asked if they will give  us a break on the cost of the pizzas.  Bonnie Perkins will send out an announcement.    Oktoberfest  The Oktoberfest will be held from 5 – 10 p.m. on ​September 30 and October 1​.  Sister Cities, as  in the past will serve the strudel during this event.  At the Sepember13 social, parents and  students will be asked to volunteer to help sell the strudel.    Fall 2016 Fundraiser​ ­ The Community Center has been booked for ​Ocotber 8​ and the liquor  license is in process. The event will be named “Dinner Around the World”.      Dierdorf Mayor visit to Fountain Hills​ ­ Dierdorf Mayor Thomas Vis and family as well as two  additional couples will visit Fountain Hills on​ October 18­20​. The Sister Cities Corp. typically  hosts one dinner/reception for the guests and Sister Cities board and members during their visit.  Mayor Vis has been to Fountain Hills on three prior occasions. Dierdorf visitors prefer to stay  with host families ­ Jackie and Jerry Miles, Linda and Pat Benkowski and Tammy and Grady  Miller will be the hosts this year.     Student Exchange ­ Dierdorf and ​Zamość  12 students and 2 chaperones from Dierdorf and  12 students and 3 chaperones will arrive on  October 17 through November 2, 2016.​  Accommodations with host families are set for most still  needed for two German girls and one Polish girl.  Teachers have planned excursions at a cost of  $7,525 plus costs for the local transportation buses at $600 that might be covered by the student  organization. Sister cities has a budget of $6,000 to help with the exchange. An outbound  exchange is planned for 2017.    Budget Sister Cities Student Exchange Program   2016 37 people will go to Flagstaff ­ students and chaperones. Some expenses are covered from  the  tax credits. Proposed funding request from Sister Cities     Sister Cities Welcome lunch at Euro Pizza (Fountain)       $   500  River of Time Museum                                                       $     60   Flagstaff Lunch                                                                   $   370  Falcon bus to GC                                                                $ 1,324  Northern Arizona Museum                                                 $      41   Lodge @ Grand Canyon                                                     $ 1,055  Tonto National Bridge                                                        $    259  Dinner on way home (maybe)                                            $    296   McDowell horseback riding ($1650 plus tips)                   $  1,815  Salt River Kayaking                                                           $  1,505  Grand Canyon Park Entrance Fee                                      $     300  Grand Total ​                                                                        $ 7,525  Dinner/lunch at GC?? tbd   Local Bus                                                                      $    600     Christmas Tree​ The Community Center Christmas Tree decorating will be held from 8:00 a.m. to  noon on ​November 19.​  Sister Cities’ members will meet at 9:00 a.m.  Since the theme is Candy  Cane Carnival we will put chocolate candy canes on the tree.  Bogumil Horchem agreed to chair  this project.  Our current tree is stored in the Kiwanis trailer.    League of Cities State Conference​ ­ League of Cities State Conference is being held at the  Fairmont Princess Hotel and each Sister City is being asked to provide brochures or flyers to be  handed out to participants.  We would need 50 – 75.  Jean will check with Mike O’Connor to see  if he can get anything together for us.    Thanksgiving Day Parade​ ­ Enrique Melendez will chair our entry into the Thanksgiving Day  Parade.          Christine Colley  Sister Cities Treasurer   August 26 2016
